OVERVIEW:

The Trade Confirmation Associate is responsible for the end-to-end confirmation and contract administration process for physical commodity trades, ensuring that all transactions are accurately documented, validated, and contractually binding in alignment with internal systems and obligations. The role serves as a critical control point between the front office, counterparties, and settlement teams, ensuring the integrity and timely execution of trade documentation. 

SCOPE:

Provides professional support to trading and commercial advisors throughout Aramco Americas Company and its affiliates as needed

 

PRINCIPAL DUTIES:

  • Drafts, reviews, and dispatches contracts/responses for the purchase and sale of physical Chemicals, Crude Oil, Products, and Renewables, including both waterborne movements and non-marine trades.
  • Works closely with traders, commercial advisors, and counterparties to ensure that all contracts accurately reflect the terms agreed to and as recorded in the trade capture system, and that all contracts are fit for purpose.
  • Verifies that all incoming counterparty confirmations and broker confirmations accurately capture the contractual terms and conditions and resolve discrepancies in a timely fashion.
  • Makes sure all deal related correspondence is filed in the contract lifecycle management system. Processes electronic confirmations via Ice Trade Vault.
  • Manages daily incoming confirmation correspondence and inquiries within shared mailboxes.

 

MINIMUM REQUIREMENTS:

  • Bachelor’s degree in business administration, legal studies or related fields, a paralegal certification, or equivalent combination of experience (contract/legal document preparation and review, and confirmation processes) and education.     
  • Understanding of key contractual terms and their potential implications is an asset.
  • Ability to:
    • Effectively communicate with Traders and Commercial teams to understand overall scope of transactions.
    • Work under time pressure, meet deadlines and prioritize multiple activities.
    • Demonstrate strong customer service-oriented behavior, a professional attitude, a high degree of accuracy.
    • Operate with minimal supervision and ability to identify and resolve problems to meet deadlines.
    • Demonstrate excellent analytical and organizational skills.
  • Typically, less than three years of experience in contract/legal document preparation and review, and confirmation processes. Prior experience in an energy trading and marketing environment is an asset.
  • Must be able to comprehend and communicate accurately, clearly and concisely in English.
