Travel Services Advisor (1682)
OVERVIEW:
Performs activities, analyses and process enhancements related to company travel operations. Analyses and process enhancements involve a range of Travel activities including but not limited to airline, hotel, car rental and limousine services. Activities include resolution of issues/concerns, related to travel, with appropriate management and Aramco affiliates to ensure travel requirements are met. Sourcing new personnel, coordination with various departments within Aramco and solutions and vendors to enhance the traveler experience as well as negotiation of rates with existing vendors/carriers.
SCOPE:
Primarily serves Aramco Services Company (ASC) and Saudi Aramco (SAO), with periodic assistance to other Out of Kingdom Offices, in oversight of ASC assigned travel agents to coordinate and manage travel for ASC employees, ASC affiliate employees, consultants, employee candidates and Aramco sponsored student travel and lodging. Also responsible for negotiating rates with carriers, hotels, and other vendors or suppliers supporting the travel industry as well as the maintenance of ASC Travel Systems and recordkeeping requirements.
PRINCIPAL DUTIES:
- Often serves as a resource to others, especially for knowledge transfer, training and checking work.
- As delegated, provides work guidance to assigned professional, technical, and clerical staff. Assists in overseeing the 3rd Party Logistics (3PL) services providers.
- Determines action to be taken within limits of standard practice and authority and arranges own activities to meet defined schedule.
- Receives supervision from the Manager, Logistics & Trade compliance. Normally works independently and receives little instruction on day-to-day work and general instructions on new assignments.
- Travels approximately 10% of time outside of normal work locations in the US and occasionally internationally.
- Frequent written and verbal contact with senior management support staff and Executive Services to discuss arrangements and coordinate services for VIP's and/or resolve issues
- Frequent written and verbal contact with third party travel agents, car rental agencies, hotels, limousine companies and other services providers and discuss opportunities for process improvement.
- Performs other duties and participates in special projects as assigned.
MINIMUM REQUIREMENTS:
- Bachelor’s Degree, preferably in Travel, Tourism or Business Administration from an accredited university preferred.
- Ability to analyze various factors and use good judgement to make sound recommendations and decisions.
- Proficient with business software applications. Proficient with ERP (Enterprise Resource Planning) systems (SAP preferred) and Microsoft Office (EXCEL).
- Typically, at least five (5) years of experience in travel related activities, executive administrative functions, data analysis and vendor management.
- Experience with GDS (Global Distribution System) and Concur.
- Organizational skills to help in efficient planning, coordination and collaboration, problem-solving, and adaptability to given situations preferred.
- Must be able to comprehend and communicate accurately, clearly and concisely in English.
